The Petrol Pump Addon is divided into two main modules for complete control and ease of use:
🔐 Administrator Menu – Setup and Configuration
This section is used to create and configure all necessary master data before starting daily operations.
1. Item Master Setup
- Create fuel types such as:
- Petrol
- Diesel
These will be used for all sale transactions.
2. Fuel Nozzle Master
- Assign nozzle codes like:
- NZP1 for Petrol
- NZD1 for Diesel
This helps in identifying sales and readings nozzle-wise.
3. Fuel Tank Master
- Create separate tanks for each fuel type (e.g., Petrol Tank, Diesel Tank) to track stock tank-wise.
4. Shift Master
- Define different working shifts such as:
- Morning Shift
- Evening Shift
This is useful for accurate shift-wise tracking and reporting.
🧾 Transaction Menu – Daily Reading & Billing
All day-to-day operations are handled in this section.
⛽ Step 1: Meter Reading Entry
Each day or shift starts with meter reading entry:
- Select Date
- Enter Nozzle-wise Opening and Closing Readings
👉 The system automatically:
- Calculates Total Sale (Closing – Opening)
- Carries forward the last shift’s closing as the next shift’s opening
- Allows input of Test or Loss quantities (deducted from total sale)
🧮 Example:
- Nozzle: NZD1 (Diesel)
- Opening Reading: 100
- Closing Reading: 800
- Total Sale = 700 liters
📄 Step 2: Create Sale Invoice (Credit Entry)
To create invoices for credit customers:
- Select:
- Voucher Series
- Voucher Date
- Sale Type
- Nozzle (e.g., NZD1)
- Shift (e.g., Morning)
- The system auto-fills:
- Item Name
- Price (editable)
- Opening/Closing Readings
- Total Sale
- Enter voucher type (Sale or Challan) and other details:
- Date
- Party Name
- Vehicle Number
- Quantity (e.g., 400 liters)
🧠 Amount is auto-calculated and voucher number is auto-generated.
You can also add multiple parties in one shift for the same nozzle.
💵 Step 3: Create Bulk Cash Sale Voucher
After credit entries are completed, remaining fuel sale is usually cash-based. Here’s how to record that:
- Open the Bulk Voucher Entry screen.
- Select the Date.
System will display:
- Nozzle Name
- Item Name
- Opening / Closing
- Total Sale
- Credit Sale
- Cash Sale
💡 Example:
- Nozzle: NZD1
- Total Sale: 700
- Credit Sale: 400
- Cash Sale: 300
- Click Save — system will:
- Auto-generate Cash Sale Voucher for each nozzle.
- Reduce stock from Fuel Tank / Material Center accordingly.
📋 Step 4: Track All Sale Vouchers
All generated vouchers — both credit and cash — will be available in the Sales Voucher List for future reference, printing, and reporting.
